This role provide executive level administrative support for the Chief People Officer and Executive Vice President of Technology. You will be responsible for all duties related to daily office administration, providing assistance to the People Team and Information Technology with various special projects as assigned.

What the Executive Assistant to Chief People Officer and Executive Vice President of Technology role will focus on:

  1. Calendar Management:
    • Coordinate and manage complex calendars for the CPO and EVP Tech, scheduling meetings, appointments, and travel arrangements.
    • Anticipate and prioritize scheduling conflicts, ensuring efficient use of executives' time.
  2. Communication:
    • Act as a primary point of contact between the executives and internal/external stakeholders.
    • Draft, edit, and proofread correspondence, emails, reports, and other documents on behalf of the executives.
    • Assist with timely follow up.
  3. Meeting Coordination:
    • Organize and coordinate meetings and events, including logistical arrangements and preparation of necessary materials.
    • Develop system for tracking meeting action items to ensure deadlines are met.
  4. Travel Arrangements:
    • Arrange travel, including flights, accommodations, and transportation, ensuring cost-effectiveness and adherence to company policies. Create travel itineraries.
  5. Information Management:
    • Manage and maintain confidential information, files, and records for the CPO and EVP Tech.
    • Conduct research and compile data as needed for presentations and reports.
    • Adhere to the organization's confidentiality policy.
  6. Expense Management:
    • Track, reconcile, and submit expense reports in a timely manner, ensuring accuracy and compliance with company policies.
  7. Ticket & Donation Requests:
    • Coordinate and administer ticket requests (donations, silent auctions, etc.)
    • Coordinate, track and process donation requests via the Social Responsibility team.
  8. Project Support:
    • Provide project support to the CPO and EVP Tech, including coordination, documentation, and follow-up on various initiatives.
    • Assist with Board requirements, meetings, action items and communication.
    • Main point of contact for company-wide life event recognition, to include: births, bereavement, engagements, weddings, etc.
  9. Cross-Functional Collaboration:
    • Collaborate with other executive assistants and team members to facilitate smooth communication and coordination across departments.
  10. Problem Solving:
    • Proactively identify and resolve issues, bringing key matters to the attention of the executives as needed.
  11. Special Projects:
    • Undertake special projects as assigned by the CPO and EVP Tech.
    • Game and/or Event nights as needed.

What the Executive Assistant to Chief People Officer and Executive Vice President of Technology role needs to have:

  • High school degree or GED equivalent required; College degree.
  • 5-7 years of proven experience as an executive assistant or in a similar role required.
  • Experience in Concur preferred.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite, Teams and other relevant software.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Ability to interact professionally and confidentially with all levels of management and staff.
  • Excellent ability to establish rapport with others and ability to build strong interpersonal.
  • Exceptional organizational skills, time management skills and attention to detail.
  • Ability to prioritize, manage multiple tasks/projects and support an executive.
  • Ability to work independently without supervision, be self-directed and demonstrate.
  • Ability to meet tight deadlines, changing priorities and work well under.
  • Strong verbal and written communication skills with an emphasis on business writing.
  • Ability to work collaboratively with others for whom you have no direct supervisory.
  • Strong teamwork and team synergy skills.
  • Exhibit good judgment and decision-making.
  • Availability and willingness to work extended hours, including nights and weekends, as necessary.
  • Willingness to work a flexible schedule based on the changing priorities of the organization/departments.
