Office Support Manager

Position:

The Office Support Manager is part of the Human Resources Department for Minnesota United FC (MNUFC), a sports business located in the Twins Cities area of Minnesota and a member of Major League Soccer (MLS), the top tier soccer league in North America.

Overview:

We are seeking a dynamic individual to join our team as an Office Support Manager. This role is multifaceted, primarily providing executive assistance while overseeing office operations. Additionally, this role will have a hand in supporting corporate partnerships. The ideal candidate is highly organized, detail-oriented, and possesses exceptional communication and interpersonal skills. As the Office Support Manager, you’ll provide:

Executive Assistance:

  • Provide support in managing the Executive Team’s calendars, which includes scheduling meetings and appointments.
  • Book travel, make accommodations, and plan itineraries as necessary for executives and business guests.
  • Effectively and professionally communicate with executives and employees from other organizations.
  • Manage expenses for the Executive team.
  • Maintain a high level of confidentiality relating to the club and its employees.
  • Assist with special projects and strategic initiatives that positively impact our club culture.

Office Management:

  • Provide general administrative support to the office, which includes ordering supplies, handling incoming and outgoing mail, and receptionist duties.
  • Oversee office maintenance, including liaising with building management and vendors, managing office equipment and supply inventory, and maintaining organization of the office space.
  • Support in-house or off-site activities, i.e. employee lunches, social gatherings celebrations.
  • Administrative support scheduling meetings and booking requests for common areas in building spaces, and supporting group meetings.

Corporate Partnership Support:

  • Support Corporate Partnerships staff and leaders in sponsorship sales and service by assisting with building sales presentations and setting up introductory meetings with guidance of the leadership staff.
  • Assist with generating deal sheets using Salesforce.
  • Liaise with corporate partners and partnership prospects on their tickets / ticketing needs.
  • Support the Suite Sales and Service Manager with various game day related hospitality, as needed.

Additional duties as reasonably assigned by the Vice President, People Operations.

Your experience might look like:

  • At least 3-5 years of experience in an administrative role.
  • Proficiency in MS Office Suite, Outlook, PowerPoint, etc.
  • Professional experience with maintaining the confidentiality of sensitive information.

Requirements:

  • This role requires a high level of trust and managing delicate and sensitive information
  • Must be able to work flexible hours including evenings, weekends, and potential holidays
