POSITION SUMMARY:

The Coordinator, People is responsible for coordinating a wide variety of people-related processes including the scheduling of hourly event staff group of over 2,000 working at Rogers Arena, and for providing administrative support as required. This is an extremely busy, fast-paced, high-volume position working in a dynamic, exciting environment.

This role will focus on:

  • Providing one-stop scheduling services to the hourly workforce, from collecting availability and scheduling events in accordance with scheduling requirements to developing staff deployment plans for all events
  • Assisting with administrative functions including monitoring and responding to staff phone calls, emails, and data entry while maintaining detailed records of all call communication
  • Administering late requests, schedule and/or deployment changes, time-off requests, availability changes, etc. while maintaining appropriate staffing requirements
  • Entering and completing all payroll requirements and process timesheets
  • Supporting with processing hires, rehires, transfers, terminations, and offboarding
  • Tracking expiration dates and executing applicable action on part-time staff work visas, security licenses, Serving it Right certificates, and forklift licenses
  • Tracking part-time staff leave of absences, conducting follow up communication, and ensuring correct paperwork is on file
  • Supporting recruitment team with various recruitment activities including one-on-one interviews, reference checks, and Job Fairs
  • Administering probationary period completions, entering data into HRIS, and processing according to the compensation plan
  • Preparing confirmation of employment letters
  • Assisting with coordination of event staff employee programs and events
  • Completing various projects and assignments, as assigned

YOU HAVE:

  • Minimum 2 years’ administrative experience, ideally in a human resources department
  • Excellent organizational skills, with the ability to handle multiple responsibilities simultaneously
  • Motivated by a high-volume workload in a busy administrative role, while continuously finding more efficient ways to perform tasks
  • Experience with databases and intermediate to expert level skills in MS Word and Excel
  • Demonstrated ability to work as a team player with a high-level customer service focus, responding to all customers with a friendly and professional β€œcan-do” approach
  • A self-starter attitude that puts thought, creativity, and ingenuity into work assignments
  • A team player with a strong client service focus
  • Excellent interpersonal and communication skills, with an ability to interact effectively with diverse client groups
  • Flexibility and willingness to work some evenings/weekends, as required

YOU MIGHT ALSO HAVE:

  • Knowledge of payroll systems and timesheet processing
  • Certificate or Diploma in a Human Resources related program, or a combination of education and experience
  • Experience in a hospitality environment
