The Role and What You’ll Do:

The Office Assistant services the company across all departments. This role assists with various daily administrative office tasks, as well as ad-hoc projects and temporary coverage of reception desks as needed. This position is a demanding housekeeping and administrative role which provides support across all departments and works closely with HR, Facilities, and IT. This role spends much of the day moving around the facility.

  • Ensure that the general office is running smoothly (ensuring public spaces are well-presented, restocking water bottles, etc.)
  • Proactively manage multiple meeting spaces and liaise with necessary parties to ensure that all needs are met prior to meeting start (catering, IT, guest arrivals, etc.)
  • Set up all video conferences and audio-visual requirements, with support of IT when required.
  • Conduct regular conference room checks to ensure technology is in working order, and alert IT of any maintenance required.
  • Provide frequent coverage of front reception desk and security desk; cover Performance Institute reception as needed.
  • Maintain office supply inventory and ensure that printer stations are adequately stocked with supplies and paper.
  • Update guest list on a daily basis and provide the list to Security.
  • Ensure that guest offices are presentable and stocked with basic supplies; provide assistance to guests as needed.
  • Work closely with Facilities Director to flag and resolve any facilities issues as discreetly and efficiently as possible.
  • Support and assist with the company’s wellness program through set up and break down of weekly classes.
  • Prepare work spaces for all new hires, ensuring the work area is clean and stocked with basic supplies.
  • Prepare new hire orientation packets each week.
  • Regularly check in with Executive Assistants and offer support when necessary.
  • Assist various departments with ad-hoc projects and tasks.

  • Strong attention to detail and ability to handle complex instructions with care and follow-through
  • Ability to manage multiple projects and priorities at once.
  • Ability to think critically and problem-solve in high-stress situations.
  • Friendly, welcoming demeaner with ability to maintain confidentiality at all times.
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and ability to learn other basic computer programs.
  • Must be dependable and proactive, with the ability to prioritize workload and use time efficiently.
