The Athlete Services Coordinator is the first point of contact for guests at the UFC Performance Institute and is responsible for providing exceptional customer service and creating a welcoming environment for all who enter the facility. This position manages incoming phone calls, responds to inquiries via phone and email, interfaces with athletes and other guests, and ensures that all guests are checked-in and that the appropriate UFC Performance Institute personnel are notified of their arrival. The Athlete Services Coordinator must display a high level of critical thinking and an ability to multitask to manage the facility’s complex scheduling needs and ensure a smooth flow of operations.
The successful candidate for this role will join a world-class interdisciplinary team of service providers with a proven track record of delivering world-leading support services to MMA and other professional athletes. The role will be integral in supporting the operational activities needed for the delivery of core services to UFC athletes, as well as wider business-related initiatives on a global scale. The UFC Performance Institute encourages innovative ways of thinking and challenges team members to be accountable for their professional standards of care while providing robust links to measurable performance outcomes in all that they do.
Greets all guests who enter the UFC Performance Institute and assists them with their check-in process and notifies appropriate Performance Institute personnel of the guests’ arrival.
Cordially and professionally operates multiple communication platforms, assisting guests and/or staff with inquiries where possible and/or direction to the appropriate Performance Institute or UFC staff member(s).
Schedules services based on guest’s needs and staff availability, paying close attention to potential conflicts and ensuring there is no overlap of guests.
Receives and sorts incoming mail and packages and coordinates delivery of express mail (FedEx, UPS, etc).
Assists with ordering, receiving, stocking, and distributing office supplies.
Maintains security by following procedures, monitoring logbook, issuing visitor badges, etc.
Maintains the appearance of the UFC Performance Institute reception area, ensuring that it is clean and safe.
Conducts tours of the facility.
Other duties and tasks as assigned.
You Have These:
Ability to work primarily evening shifts, weekends, and holidays as required.
Two (2) or more years of experience in reception or guest services, preferably in a fast-paced, high-volume environment.
Polished and professional with a polite, confident, and service-oriented personality.
Excellent interpersonal skills with proven ability to anticipate needs and fulfill guest requests.
Ability to work autonomously.
Strong time management skills and the ability to multi-task and address the needs of multiple guests simultaneously in a calm, professional manner.
Excellent attention to detail.
Ability to maintain discretion and confidential information.
Excellent proofreading and grammatical skills.
Working knowledge of Microsoft Excel, Word and Outlook.
