Job Description:
Summary:
The Executive will perform a variety of complex, highly responsible, sensitive, and confidential office and administrative support functions.
The ideal candidate will be a problem solver who has excellent oral and written communication skills, impeccable attention to detail and the ability to exercise good judgement. The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to coworkers. In addition, they should have the ability to multitask, manage complex schedules, and meet changing deadlines.
Essential Duties & Responsibilities:
Work directly with Executives to support all aspects of their daily work routines.
Maintain Executives’ calendars, including scheduling meetings, appointments, speaking engagements, and travel arrangements.
Answer and respond to phone calls, communicate messages and information to the Executives.
Handle formatting and printing documents, mail/overnight packages, copying, filing, and email/messages.
Sort and triage mail; maintain e-mail and other address directories.
Prepare, reconcile, and submit Executives’ expense reports.
Organize and prepare for meetings, including gathering documents, distributing meeting agendas/materials, and handling logistics of meetings.
Coordinate work with other Executive Assistants as needed.
Maintain various records and documents for Executives.
Keep Executives advised of time-sensitive and priority issues, ensuring appropriate follow-up.
Manage communications with employees by liaising with internal and external executives on various projects and tasks.
Compose and prepare letters relating to routine correspondence for the Executives’ signatures.
Maintain confidential and sensitive information.
Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
Expectations:
Hours – standard 7-hour workday (plus lunch), 35-hour workweek, Monday through Friday
Work onsite is required at least 4 days per week with ability to be in office 5 days per week when needed
Work hours may vary so ability to be in office from 8:30am to 6:30pm
May work weekends and during games depending on Executives’ needs
Qualifications, Skills and Education Requirements:
Three to five years of work experience as an Executive Assistant, Personal Assistant or similar role
Bachelor’s degree
Proficient in MS Office Suite, including Word, Excel, Outlook, and PowerPoint
Experience in developing internal processes and filing systems
Familiarity with office equipment & applications (e.g., e-calendars, copy machines)
Experience managing multiple calendars
Experience booking travel
Outstanding organizational and time management skills
Excellent verbal and written communications skills
Experience creating/editing presentations and other-related materials
Interpersonal skills, ability to multitask, organizational skills, and detail oriented.

Salary Range:
$60,692.43 - $90,000.00
