Summary Description:

The Coordinator of Business Operations will perform a wide variety of administrative duties including those of a confidential nature for the Director of Business Operations (DBO) in the organization’s office of the Chief Operating Officer (COO). This position will be responsible for providing high-level, day-to-day support to ensure key tasks and initiatives are accomplished effectively and efficiently across the organization. The Coordinator of Business Operations will provide executive level coordination for the office of the COO and will ensure matters requiring the attention of the Director of Business Operations and Haslam Sports Group (HSG) executive team are addressed in a timely manner.

Essential Duties and Responsibilities:

  • Manage a wide variety of administrative tasks that facilitate the DBO’s ability to effectively manage projects, design and produce complex documents, reports and presentations and collect and prepare information for meetings with staff and outside parties.
  • Assist the DBO in serving as the primary point of contact for internal and external constituencies on all matters pertaining to the office of the COO, including those of a highly confidential or critical nature. Communicates directly, and on behalf of the DBO and office of the COO and responds to emails, texts, phone calls during and outside of business hours.
  • Establish excellent working relationships with HSG executive team and other key stakeholder including external partners, business leaders and governmental officials.
  • Provide sophisticated calendar management for the COO and HSG exec team and prioritize inquiries and requests while troubleshooting conflicts and makes judgements and recommendations to ensure smooth day-to-day engagements.
  • Coordinate all travel arrangements including complete itinerary, transportation logistics and required travel documents for the COO and HSG executive team as appropriate.
  • Manage gameday tasks which will include ticket, credential and field pass distribution, suite coordination and communication with guests.
  • Manages office administrative tasks which will include expense reports, credit card reports, mailings, packages and gifting.
  • Independently complete additional projects and special assignments including execution items in support of day-to-day operations, professional presentations, information gathering, budget/process planning and following up on key decisions while ensuring absolute confidentiality of all sensitive information and communications.

Requirements:

  • Bachelor’s degree with a desire to work in a fast-paced environment (previous administrative experience is preferred).
  • Ability to work independently on tasks and projects, anticipate needs, think critically from conception to completion and thrive in a role with a high level of professionalism, discretion and confidentiality.
  • Strong proficiency in Microsoft Office Suite, including PowerPoint, Word, Excel and Teams.
  • Flexibility to be available outside of traditional business hours, including gamedays.
  • Effective communicator and problem solver who is candid and transparent.
