Business Office Intern (FT - Post Graduate Position)

Reporting to the Human Resources Director, this position is responsible for providing day to day administrative support to the Business Office. The ideal candidate will be able to work well in a fast-paced environment, handling a variety of detail-oriented tasks with a positive attitude and professionalism. The position requires the ability to work independently, exercising judgment and initiative in a variety of operational and administrative areas.

**Internship Term: Full time/Paid (40 hours/week) - One year with a potential for second year

SPECIFIC DUTIES AND RESPONSIBILITIES:

Office Duties

  • Assist Payroll in inputting employee information into HRIS/payroll system
  • Assist HR in planning and executing employee events, including the annual Employee Appreciation and Holiday parties
  • Assist with all internal and external HR related inquiries or requests
  • Administrative assistance to the payroll department with any special projects and or assignments
  • Input personnel changes into Paychex, UPMC, and Delta Dental
  • Distribute mail and prepare outgoing mail, shipments including special handling requirements such as certified mail
  • Fill in with front desk coverage as needed
  • File worker’s comp claims
  • Assists senior accounting personnel with any tasks conducted within the accounting/finance department, including accounting, financial compliance, and reporting
  • Assist with general accounting responsibilities such as recording account reconciliations, analysis
  • Assist with processes that ensure timely and accurate financial reporting including revenue and cost analysis
  • Prepare detailed account schedules
  • Provide support for external audits and prepare documentation for external auditors
  • Assist in the compilation of the annual financial reporting package for the NFL in relation to the Collective Bargaining Agreement
  • Work cross-functionally to collect, organize, and communicate strategies to executive leadership through development of clear and concise deliverables
  • Act as a liaison between the finance and marketing departments to maintain accurate reports of revenue and expenses for specific marketing events throughout the year
  • Support team with periodic reforecasting of department expenses and the review and maintenance of templates
  • Utilize Microsoft Great Plains to organize financial data used to create and analyze reports
  • Utilize Ticketmaster’s Archtics system to analyze ticketing financials and create monthly reports
  • Assist AP in processing purchase orders, and inputting and filing invoices as they come in
  • Create and maintain file folders such as Contracts (Agreements/Licenses) and file items like bankruptcy notices, insurance certificates, etc.
  • Maintain records/binders of bank deposits, including a breakdown of sponsors who submit payments via check each month
  • Other duties as assigned

Gameday Duties

  • Hire, manage, and provide communications for all 50-50 game day 50/50 staff
  • Work together with internal staff to identify and solve gameday problems in a timely manner and implement strategies for future games
  • Securely manage, count, and reconcile incoming 50/50 cash during the game
  • Other duties as assigned

EDUCATION, TRAINING AND EXPERIENCE:

  • Preferred degree in Business Administration, Human Resources, Sports Management, or related field
  • Proficiency in Microsoft Office software
  • Strong organization and time management skills
  • Ability to manage multiple tasks with multiple priorities in a high energy environment
  • Ability to maintain attention to detail and to work effectively under pressure and within deadlines
  • Possess high level of verbal, written and interpersonal communications
  • Ability to maintain confidential and/or proprietary information
  • Ability to work home games – includes evenings and weekends
  • Must have a valid driver’s license
