Reporting organisationally to the Executive Director, Events and Entertainment, the Manager - Special Events will be a key member of the FIFA26 Events and Entertainment team, and work in close collaboration with the Senior Managers Special Events, and other key individuals responsible for delivering all Stadium Entertainment, and Ceremonies’ activities including preplanning, mobilisation, operations, event delivery and decommissioning all events to showcase FIFA’s high profile and innovative standards across the stadiums and rehearsal/talent/volunteer venues.

THE POSITION

The main responsibilities and oversights of the Manager Special Events for the FIFA World Cup 26™ include:

  • Project Collaboration: Collaborate in projects from concept to delivery, coordinating all event details, overseeing internal alignment, and approval processes.
  • Scopes of Work (SoW) and Budget Collaboration: Contribute to all Scopes of Work (SoW), conduct proposal analysis, negotiate contracts, oversee budgeting, track variations, ensure timely legacy handover, and process invoices within quality standards, timelines, and budget constraints.
  • Workflow Planning and Collaboration: Collaborate and plan workflow processes and support systems, including user-friendly and accessible filing and archiving systems.
  • Project Planning and Milestone Collaboration: Collaborate and ensure the on-time delivery of all Project Plans and Milestones.
  • Content Production and Quality Assurance: Ensure accurate and quality-driven content production, including but not limited to storyboards, run sheets, scripts, translations, etc.
  • Functional Area Liaison: Collaborate as a liaison for all relevant Functional Areas (FA), providing regular briefs to all stakeholders.
  • Venue Documentation: Contribute to the preparation of venue space and client journey documentation, such as Site Operational Plans (SOP’s).
  • Training and Onboarding Support: Collaborate on managing and ensuring achievable timelines for training and onboarding of Agencies, Volunteers, Staff, Workforce, Broadcast, and Media services, including the preparation of comprehensive briefs.
  • On-Venue Management and FA Alignment: Collaborate on on-venue management and alignment with Functional Area (FA) requirements, involving Staff, Event Management Companies (EMC’s), Event Suppliers, Contractors, Workforce, Talent, etc.
  • Brand Control and Integration: Ensure brand control, creative integrity, and integration across all event deliveries.
  • Talent Delivery Requirements: Collaborate on ensuring all talent delivery requirements for Special Events are aligned with Event Operations and are successfully delivered, including but not limited to accreditation, access, transport, catering, travel, visas, accommodation, permits, BoH riders, etc.
  • Rehearsal Management: Collaborate on rehearsal management for Special Events, including scheduling, approvals, and alignment with relevant stakeholders.
  • Policy and Procedure Contributions: Contribute to all relevant Policies and Procedures, Project Charters, and C4 planning. Collaborate on managing the distribution of information to all relevant stakeholders to ensure clear delivery processes.
  • Reporting and Presentations: Collaborate on preparing all associated high-level detailed reporting, e.g., WIP’s, Executive reports, project updates, dissolution plans, closeout, handover reporting (TOK), and Legacy handover.
  • Departmental Contributions: Collaborate at a high level in all Department detailed reporting and presentations.
  • Staff Collaboration and Support: Collaborate on supporting staff members and providing assistance as needed to foster their growth and effectiveness.
  • Ad Hoc Duties: Collaborate on fulfilling any other duties as required or directed by senior management in alignment with the project role.

YOUR PROFILE

  • Bachelor’s degree or equivalent subject matter expertise
  • Minimum 3 - 5 years of experience in a similar role.
  • Proven track record in managing complex projects in sporting multivenue mega events. (Experience working on FIFA events an advantage).
  • Experience in working in large event services and venue teams.
  • Experience working with a range of Broadcast and Media services.
  • Experience with and respect for cultural protocols and practices.
  • Fluent in English
  • Spanish and/or French proficiency is a plus
  • Proficient in MS Office (Excel, Word, PowerPoint, Visio & Project) and planning software and online collaboration tools (Asana, Monday, WeTrack, etc)
  • Understanding of Design tools
  • Strong understanding of the processes of content production and formats including but not limited to vision, graphics, headshots, and audio production
  • Able to interpret plans and drawings (CAD’s, Autodesk, BIM360, etc)
  • Understanding of digital media
  • Passion for understanding latest trends, technologies, and innovations
