Job Summary:

The Administrative Assistant will be assigned to support the functional work of our Team’s Chief Executive Officer and Head of Business Operations. Reporting to the ‘Sr. Manager, Special Projects and Business Operations,’ the Administrative Assistant will be responsible for a variety of project-based and administrative type assignments. The position is responsible for providing administrative coordination and support, assuming responsibility for a wide variety of administrative functions. This is a great opportunity to gain knowledge and experience into a world class sports and entertainment team at Rocket Mortgage FieldHouse.   • Candidates MUST have flexible availability, including nights and weekends.
  • This is a full time position that will work onsite in downtown Cleveland, OH a minimum of 40 hours per week. Local candidates preferred.

Essential Duties and Responsibilities:

  • Calendar coordination and management for C-Suite Level Executives. Including but not limited to, group meetings, group events, travel planning, meeting space reservation, large scale virtual meetings, equipment requests, catering needs, etc.
  • Assist with administrative activities for large scale projects.
  • Coordinate the preparation and creation of PowerPoint presentations by creating templates, merging presentations from multiple contributors, and reviewing presentations.
  • Interact via phone, e-mail, and in-person with internal and external customers, and determine appropriate course of action, referral, or response.
  • Prioritizes conflicting needs, handles matter expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Complete purchase orders/expense reports.
  • Work with complete follow through and initiative when supporting the work of the Senior Leadership Team.
  • Perform ad-hoc duties as assigned by the Sr. Leaders and management team.

Required Qualifications:

  • Associates Degree in a related field required, Bachelor's Degree preferred.
  • 2+ years of experience directly assisting a C-Suite level executive, including calendar management, travel arrangement, expense reports, etc.
  • Willingness and eagerness to learn aspects of working for a professional sports team.
  • Comfort level with working through direction and independently when necessary.
  • Proficient to advanced skill set with basic office applications, including Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to work in a fast-paced environment.
  • Must possess a high desire to collaborate across our entire Team through a multitude of tasks and activities.
  • Highly developed verbal and written communication skills.
  • Must possess excellent organizational skills, high attention to detail and the ability to handle multiple assignments in an ever-changing environment.
  • Ability to maintain strict confidentiality and sensitivity of assignments.
  • Must demonstrate a high level of maturity, integrity, loyalty, initiative, creativity, and sound judgment.
  • Must be proactive approach with a high sense of urgency to complete time-sensitive tasks and projects.
  • Must be available to work nights, weekends, and events as needed.
  • Candidates must possess a positive attitude, that helps to harness every opportunity.
  • Ability to build relationships and interact with a broad spectrum of people on a daily basis.
