Interested in working for a championship sports organization? The Miami Heat is seeking to hire an Arena Operations Intern! Main responsibilities will be to support the arena operations and project management team with data entry, documentation, reporting, analysis, and other administrative work. We are seeking someone who is organized, detail oriented, and with the ability to clearly and efficiently communicate and retrieve important information.

Essential Duties & Responsibilities:

ESSENTIAL FUNCTIONS: The following are examples of the various functions required. The job requirements are not limited to the items on this list.

  • Execute data entry duties such as the following:
    • Transfer data from hard copy to a digital database such as the arena maintenance system (IBM Maximo).
    • Organize existing data in a spreadsheet.
    • Verify outdated data and make any necessary changes to records.
    • Search for and investigate information contained in files.
    • Sort and organize hard copies of paperwork after entering data electronically.
    • Review data for deficiencies or errors.
    • Assist with special projects that require large amounts of data entry.
    • Provide data entry support across departments on an ad-hoc basis.
    • Type in data quickly and efficiently.
  • Provide Administrative Support by:
    • Reviewing and updating CAD drawings to capture changes and enhancements made to the arena.
    • Creating reports to be used for analysis by management.
    • Maintaining project management knowledgebase ensuring project management documentation, reports and plans are relevant, accurate and complete.
    • Collecting and analyzing project data, and generating reports, graphs and presentations as required.
    • Supporting the PMO with senior leadership meeting facilitation and presentation preparation.
  • Demonstrate strong presentation skills to effectively articulate expectations and foster open communication.
  • Support project team meetings in an efficient and effective manner.
  • Remain knowledgeable of innovative business technology and company business operations.
  • Establish and maintain effective interpersonal relationships with all partners.

Education and/or Experience

Computer proficiency in Microsoft Excel is required. Some proficiency or experience with “IBM Maximo”, CAD software, or “EZMax Suite” is desired. Experience with project management tools such “Asana”, “Smartsheet”, or “Monday.com” is desired.
