Reporting organisationally to the Senior Manager of workforce , the Workforce Coordinator will be a key member of the FIFA26 Workforce team and will act as the first point of contact for Workforce-related queries from employees and external partners.

THE POSITION

The main responsibilities and oversights of the Workforce Coordinator for the FIFA World Cup 26β„’ include:

  • Supporting Workforce team in managing the administrative life-cycle of employees within their assigned divisions
  • Workforce Planning and Scheduling: Develop and maintain staffing schedules that meet departmental needs. Adjust schedules as necessary to handle changes in workload, projects, or staffing levels.
  • Labor Forecasting: Analyze data to forecast labor needs and work with management to ensure the organization is appropriately staffed to meet its objectives.
  • Training Coordination: Work with department heads and training personnel to schedule and coordinate training sessions for staff. This includes new hire orientation, ongoing training, and professional development opportunities.
  • Compliance and Reporting: Ensure all scheduling and staffing practices comply with relevant laws, regulations, and company policies. Prepare and present reports on workforce metrics to senior management.
  • Collaboration and Communication: Serve as a liaison between HR, management, and employees regarding scheduling and staffing issues. Address concerns and provide solutions to staffing challenges.
  • Process Improvement: Continually assess and improve workforce planning and scheduling processes to increase efficiency and employee satisfaction.

Daily administration:

  • Monitoring Attendance and Timekeeping: Checking employee attendance records, managing time-off requests, and ensuring accurate timekeeping for payroll purposes.
  • Updating Schedules: Adjusting work schedules to accommodate absences, shift swaps, or unexpected demand increases. This may involve reallocating resources or calling in additional staff.
  • Responding to Staff Inquiries: Acting as a first point of contact for employees' questions regarding their schedules, time off, or general HR policies.
  • Data Entry and Record Keeping: Updating HR databases with new employee information, changes in employment status, and tracking staff training and certifications.
  • Reporting: Generating daily reports on staffing levels, absenteeism, lateness, and other workforce metrics for review by management.
  • Communication with Department Heads: Coordinating with department managers to understand daily operational needs, upcoming projects, and any specific staffing requirements.
  • Managing Shift Changes and Coverage: Coordinating shift changes and ensuring any gaps in coverage are promptly addressed to maintain operational efficiency.
  • Supporting Recruitment Processes: Assisting with the recruitment process by scheduling interviews, preparing interview materials, and sometimes participating in interviews to assess candidates' fit for specific roles or shifts.
  • Ensuring Compliance: Keeping up to date with labor laws and regulations to ensure that scheduling practices comply with all legal requirements.
  • Problem-Solving: Addressing and resolving any immediate issues that arise related to workforce management, such as conflicts in scheduling, unexpected absences, or resource shortages.
  • Preparing for Meetings: Organizing and preparing materials for meetings related to workforce planning, HR policies, or departmental needs.
  • Training Coordination: Assisting in coordinating training sessions for employees, including logistics, tracking attendance, and ensuring training materials are prepared

YOUR PROFILE

Education & Qualifications

  • Degree in Human Resources or relevant field preferred.

Work Experience

  • At least two years of experience in HR administration Proven work experience as an HR Administrator, HR Administrative Assistant or a relevant role Experience with HR software

Languages

  • Fluent in English. Spanish and/or French proficiency is a plus

Technology

  • Proficient in MS Office (Excel, Word, PowerPoint, Visio & Project) and planning software and online collaboration tools
  • Knowledge of a personal data information system (SAP) preferred
