Pay Range: The pay range for this role is $31 – $34 per hour.
Actual base pay will be determined based on permissible factors such as transferable skills, work experience, market demands and primary work location. The base pay range provided is subject to change and may be modified in the future.
Position Overview
The Marketing Coordinator for the San Jose Sharks will play a key role in supporting the team’s marketing efforts both on and off the ice. The position is responsible for coordinating a variety of marketing functions, including brand activation, campaign coordination, content trafficking, budgeting, vendor management, and coordination of game-day operations. The Marketing Coordinator will collaborate with internal teams and external vendors to ensure seamless execution of campaigns, events, and promotions to enhance the fan experience, drive team brand awareness and generate revenue.
Essential Duties and Responsibilities:
Brand Activation Coordination:
- Coordinate the logistics and staffing for brand activations, promotions, and community events.
- Oversee the scheduling and coordination of volunteers and event staff for activation events, ensuring smooth execution and a positive brand experience.
Marketing Messaging Trafficking:
- Manage the trafficking of marketing assets (including radio, TV, and in-game broadcasts) to ensure timely delivery and correct usage of promotional content.
- Work cross functionally to ensure brand consistency across all marketing materials.
- Coordinate with media partners to provide them with specific marketing elements and messages for key campaigns (talking points, giveaways, etc.).
Lead Generation and Sweepstakes Building:
- Utilize tools like CDC Forms, Formstack, etc. to build and manage sweepstakes rules and forms, lead generation forms for various departments, etc.
- In-Game Marketing Management:
- Oversee the scheduling, management, and execution of interstitials and marketing pop-ups across various platforms (e.g., video boards, in-arena display, website, app, etc.).
- Coordinate with production teams to ensure timely delivery and quality of all in-game assets.
Venue & Video Board Content Management:
- Manage and traffic marketing materials for in-venue and owned video boards, ensuring accurate and timely content deployment.
- Collaborate with the marketing and creative teams to prioritize and develop content list that aligns with team branding and messaging for in-stadium experiences.
- Work with SAP / Sharks Ice and other SSE properties to support brand messaging and fulfill promoter contracts with non-Sharks event support.
Guest Services Communication:
- Prepare and distribute prioritized brand and marketing talking points and key messaging for Guest Services teams, ensuring they are well-prepared to handle fan inquiries during individual games and events.
- Ensure consistency in communication across all touchpoints during games.
Invoicing & Budget Tracking:
- Assist in managing and tracking the marketing budget.
- Create purchase order numbers, process invoices and maintain accurate records of expenditures.
- Collaborate with Finance and Marketing teams to ensure timely and accurate reconciliation of marketing costs.
Vendor & Supplier Coordination:
- Act as a contact for external vendors and suppliers (Idegy, Almaden, etc.), ensure timely delivery of marketing materials, promotional items, and other necessary assets.
- Oversee order management and delivery logistics to ensure materials are received on time for events, game days, and promotions.
- Coordinate with Engineering & Building Services to ensure fan giveaways are accounted for and in place for giveaway specific games.
General Marketing Support:
- Support the execution of digital, social media, and grassroots marketing campaigns.
- Assist with event planning, promotions, and sponsorship activation both in and out of season.
- Maintain a positive working relationship with all internal teams, including sales, creative, game presentation, operations, communications, social, digital, PR/Comms, etc. to ensure integrated marketing efforts.
- Research industry trends, content to support marketing campaigns, etc. to support brand initiatives.
Additional Duties as Assigned:
- Contribute to projects and initiatives as needed, ensuring all tasks are executed to the highest standard.
Qualifications:
- Bachelor’s degree in marketing, Communications, Sports Management, or related field.
- Minimum of 2 years of experience in a marketing assistant or coordinator role, ideally within the sports, entertainment, or events industry.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Excellent communication skills — comfortable communicating effectively both up and down the organizational ladder, with internal teams, external partners, vendors, and fans.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with marketing software tools (e.g., SAP products, Formstack, Adobe Creative Suite, etc.).
- Excellent written and verbal communication skills.
- Familiarity with digital sales and marketing platforms and tools (Ticketmaster, SAP Products, social media management platforms, etc.) is a plus.
- Strong understanding of sports marketing and the fan experience.
- Ability to work flexible hours, including evenings, weekends, holidays as required by the game/event schedule.
- A passion for sports and the ability to thrive in a fast-paced, high-pressure environment.
- Comfortable in being nimble based on opportunities that arise through the general nature of sports with the ability to easily and seamlessly pivot when needed.
Physical Requirements:
- Ability to work in a stadium environment during events, which may include walking, standing, and working in high-energy and dynamic settings
- Ability to sit, stand and utilize a computer for extended periods of time
- Communicate via phone and email with a variety of individuals
- Ability to bend at the waist, reach overhead and lift to 15 lbs with or without accommodation
- Physically navigate stairs and catwalks at SSE facilities during normal work hours and events with or without accommodation
- Ability to work occasional extended hours including nights, weekends, holidays as required by the game/event schedule. (all with advance notice)
- May be required to travel to other company locations
- May be required to attend conference, events, and training sessions within Bay Area or in- or out-of-state locations.
