Pay Range: $77,600 - $97,000 (annual)

Actual base pay will be determined based on permissible factors such as transferable skills, work experience, market demands and primary work location. The base pay range provided is subject to change and may be modified in the future.

Position Overview

The Executive Business Partner is responsible for the administrative function of SAP Center and Sharks Ice including primarily executive support to the Senior Vice President/GM of SAP Center and Sharks Ice (Functional Group) as well as project management. The key function of this position is to provide timely, accurate, and efficient support to the SVP and the Functional Group. This role is on-site at SAP Center with some flexibility to occasionally work remotely.

Essential Duties and Responsibilities:

  • Manage administrative functions in support of Senior Vice President/GM (SVP) and the functional group including complex scheduling, calendar management with ever changing priorities, financial management and reconciliation, and travel arrangements.
  • Serve as a liaison for the venues team and develop cross-functional relationships to work in partnership with internal and external stakeholders.
  • Lead function group meetings, including scheduling of meetings, management of the agenda and meeting minutes, and ensure follow-up and accountability on action items.
  • Independently oversees and directs event planning for functional group events.
  • Manage SVP expense reimbursement and functional group budget.
  • In collaboration with Booking & Events functional group and members of senior leadership team manage and update building calendar
  • Manages work performed by outside vendors and ensures timely payments of invoices for functional group.
  • Maintains the SVP files, functional group drives and databases, utility data, and efficiently archives for easy access.
  • Prepares communications for the SVP and functional group and develops PowerPoint presentations for meetings.
  • Manages projects across function groups as assigned, including providing oversight and guidance to collaborators, status reports, and ensuring deadlines are met.
  • Manage budget and related documentation for City and Company Capital projects.
  • Serve as liaison to San Jose Finance Group and San Jose Arena Authority to ensure strong working relationships.
  • Maintains Union contract schedules.
  • Manage information requests and site visits for SSE Insurance and FM Global Insurance.
  • Maintains all construction compliance documentation, contracts, and certificates of insurance.
  • Serves as a backup to the Chief of Staff to the President, including serving as “white glove” VIP concierge for Sharks VIPs (including ownership, government officials, key partners/members, and guests of ownership, etc.) and travel to away games to support President and ownership as needed.
  • Perform other tasks and projects as required.

Minimum Qualifications

  • Bachelor’s degree or equivalent combination of education and experience
  • 5+ years of experience required in an administrative role directly supporting upper management, with specific experience in managing calendars, budgets, and expenses.
  • Ability to learn quickly and remain comfortable with ambiguity.
  • Possess confidence and leadership aptitude to anticipate needs and serve as a gatekeep for the SVP; including protecting the SVP’s time.
  • Possesses critical thinking skills and the ability to independently execute multi-faceted projects and prioritize needs.
  • Excellent organizational and time management with strong attention to detail.
  • Ability to prioritize and to satisfy diverse, multiple, time critical demands, multi-task oriented.
  • Excellent interpersonal skills with the ability to maintain effective work relationships.
  • Excellent customer service, communication, and writing skills.
  • Motivated team player with positive attitude.
  • The ability to work independently without supervision, be self-directed, demonstrate initiative, and exhibit good judgment and decision-making skills.
  • Proficiency with office productivity tools and an aptitude for learning new software and systems.
  • Experience with SAP products strongly preferred.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to maintain confidentiality of proprietary information.
  • Experience in developing internal processes.

Physical Requirements

  • Ability to sit, stand and utilize a computer for extended periods of time
  • Communicate via phone and email with a variety of individuals
  • Ability to bend at the waist, reach overhead and lift up to 15 lbs. with or without accommodation
  • Physically navigate stairs and catwalks at SSE facilities during normal work hours and events with or without accommodation
  • Ability to work occasional extended hours including nights, weekends, holidays (all with advance notice)
  • May be required to travel to other company locations
  • May be required to attend events, conferences, and training sessions within Bay Area, in- or out-of-state locations, and/or internationally.
