Academy Operations Coordinator (U9-U16)

The Role


We are looking for an Academy Operations Coordinator to ensure effective and efficient Academy administration and communication through appropriate platforms, utilising and reviewing existing processes and meeting structures.

In this crucial role for our club, you'll be the the primary point of contact for a wide variety of issues relating to Teamworks, FiP and IFAS for our U9-16 age groups. Collaborating with the Assistant Academy Operations Manager, you will be entrusted to provide administrative support across the wider Academy to ensure alignment across our club.

Your day-to-day


  • Coordinate all Academy communications - you'll proactively manage internal and external communications and act as a primary point of contact for all matters relating to Teamworks, FiP and IFAS
  • Provide administrative support - you will take pride in providing a wealth of administrative services to all Academy departments and you'll be an active link to our wider club
  • Handle the player and trlialist registration processes - you'll coordinate the registration process for all U9-U16 trialists and partner with our Club Secretary to manage Academy player registrations
  • Support external scout attendance - you will work closely with our Facilities team to coordinate external scout attendance for all U9-U15 fixtures and to ensure best practice is upheld
  • Help deliver vital programmes - you'll assist with the delivery of our Academy Games Programme and will offer support across the department as required
  • Build and maintain impactful relationships - you'll passionately establish and champion effective relationships with a range of internal colleagues across our Finance, Legal, Media, People and Operations teams
  • Act as an ambassador for our club - you will live and breathe our values and cultivate effective partnerships with key external stakeholders such as the Premier League and The FA
  • Take responsibility for office management and onboarding - you'll diligently process matchday tickets, arrange squad photography and coordinate visitors as required and you will support our People team with the onboarding of new starters and associated processes

What we are looking for


  • Proven background in an academy setting - you come with demonstrable experience within youth development or an elite sport environment
  • Experience in an administrative role - you're well versed in providing a broad range of administrative and operational support
  • Best-in-class communicator - you're able to communicate effectively with a broad range of internal and external stakeholders, adapting style and approach as necessary
  • Proud team player - you're confident building sustainable relationships at varying levels and you're able to display the integrity and gravitas that's needed to be a trusted team player
  • Exceptional attention to detail - you're results driven and take a pragmatic approach to working in an efficient and accurate way
  • Impactful relationship building skills - you're results driven and you possess a good ability to create and uphold trusting relationships with players and parents or guardians
  • Excellent IT skills - you're well equipped with a good working knowledge of Microsoft Office, Teamworks, Football Intelligence Platform and IFAS
