SUMMARY
This position supports the Partnership Marketing Department by directly managing the daily administrative and functional requirements of the department. This position acts as a departmental focal point and requires an individual with a personable but professional demeanor, who is confident in their abilities, detail-oriented, flexible and solutions-oriented and possesses strengths in the areas of time management, task organization/prioritization and customer service.
ESSENTIAL DUTIES & RESPONSIBILITIES
Coordinate, process and manage all daily administrative requirements associated with the Integrated Sales & Partnership Marketing Department including:
- Co-ordinate general inquiries
- Manage partner hospitality
- Maintain and update all tracking documents and contact lists
- Log and track all departmental ticket requests
- Manage the premium royalty process
- Assist in the preparation and drafting of presentation materials for in-house and external meetings
- Assist in the development of partner wrap-up reports and renewals
- Organize and coordinate travel and expenses for the department heads
- Prepare, distribute and log cheque requests
- General office administrative duties including but not limited to answering phones; managing mail; filing; courier preparation; internal distributions; photocopying and faxing
- Assist in managing event hospitality functions - some travel required
- Analyze partner metrics and compile reporting for department

- Excellent prioritization skills with the ability to recognize and adapt to rapidly changing demands on tasks and time management
- Attention to detail and a commitment to accuracy in all tasks. Takes a proactive approach towards the elimination of errors before they occur
- Able to work with minimum supervision and with a high level of confidence and ownership in all tasks
- Ability to interact professionally and effectively with staff and management at all levels
- Exceptional written and verbal communication skills, bilingualism (English/French) both verbal and written, is considered an asset
- Impeccable ability to deal with confidential and sensitive issues by exercising solid judgment and discretion
- Excellent computer skills including an in-depth knowledge of the Microsoft Office family
EDUCATION & EXPERIENCE
- Successful completion of a post-secondary College or University program – preference for Business/Commerce or Communications programs
- 1 to 3 years prior experience in an administrative support or marketing entry level capacity
- Previous experience working within sports/entertainment marketing, media, promotion, and/or general marketing consulting is considered an asset
