WHAT WE EXPECT OF YOU

SUMMARY
The National Hockey League (NHL) is seeking a proactive and detail-oriented Assistant to
support the Vice President of Legislative Affairs and Executive Director of the NHL Foundation.
This position requires an individual who is as professional as they are dependable—a
resourceful team player with a deep sense of integrity, adaptability, and an unwavering
commitment to excellence.

In this role, the Assistant will serve as the backbone of the NHL Foundation’s operations,
facilitating seamless communication, managing high-profile projects, and supporting
foundation and legislative initiatives across both the U.S. and Canada. This role is ideal for
someone who thrives in fast-paced environments, brings a strategic approach to complex
situations, and has proven experience working alongside senior executives.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Executive Administrative Support
    • Skillfully manage complex calendars, scheduling, and travel logistics for senior executives, ensuring meticulous attention to detail and an ability to handle last-minute changes with ease.
    • Prepare high-level agendas, briefing documents, and meeting materials, ensuring
      each document meets the NHL’s rigorous standards for clarity and precision.
  • Departmental Administrative Functions
    • Perform specific functions to support the department’s work product, including
      contract routing, report writing, and presentation building.
    • Take ownership of administrative tasks for the SGL department, such as
      managing logistics for tentpole events (including invites and ticketing) and
      handling merchandise order forms. This role will be integral to achieving the
      “new SGL” goal of enhanced collaboration and integration within the
      department.
    • Handle special requests from leadership, including purchasing gifts, coordinating
      tickets for games and events, and fulfilling other unique needs as they arise.
  • Board Support & Coordination
    • Provide essential support for NHL Foundation Board of Directors meetings in
      both the U.S. and Canada, handling all logistics and follow-up tasks with accuracy
      and professionalism.
    • Act as the primary coordinator for board communications, collaborating with
      leadership, legal, and finance teams to ensure the board receives timely and
      accurate information.
    • Deliver executive-level administrative support during meetings by taking
      comprehensive minutes, tracking action items, and facilitating follow-up.
  • Donor Communication & Contact Management
    • Facilitate regular communication with NHL Foundation donors and supporters,
      delivering updates on initiatives, successes, and impacts in a timely and polished
      manner.
    • Manage the contact database, ensuring all donor, government, and Capitol Hill
      information is kept accurate and current, fostering stronger relationships and
      efficient outreach efforts.
  • Website Management & Content Coordination
    • Work closely with NHL.com to ensure the NHL Foundation’s online presence is
      continually updated with the latest, most accurate information on foundation
      activities.
    • Partner with internal teams, including content creation leadership and NHL
      Unites, to achieve seamless integration of foundation messaging across
      platforms. Ensure a cohesive, strategic approach to communicating the NHL
      Foundation’s mission and accomplishments to the public.
  • Corporate Giving Fund & Grantee Management
    • Process invoices and manage event functions related to the Corporate Giving
      Fund.
    • Manage payment schedules with finance for NHL Foundation grantees, ensuring
      timely and accurate disbursement of funds.
  • Project & Event Coordination
    • Take an active, hands-on role in planning and executing foundation events,
      working closely with internal production teams, external consultants, and other
      event professionals to ensure flawless execution.
    • Organize onsite and offsite programs, events, or conferences by arranging for
      facilities, travel, catering, issuing information/invitations, coordinating speakers,
      and overseeing budgets to ensure a smooth experience.
    • Track timelines, manage deliverables, and oversee logistics for high-profile
      events and advocacy campaigns, coordinating each detail with precision.
    • Collaborate with external production teams, consultants, and vendors to create
      a seamless, memorable experience for attendees and stakeholders, representing
      the NHL Foundation’s brand of excellence.
  • Cross-Departmental Collaboration
    • Work alongside NHL departments such as Creative Services, PR, Legal, and
      Finance to align on foundation initiatives and ensure smooth interdepartmental
      workflows.
    • Proactively support broader departmental needs and contribute to a
      collaborative, team-oriented culture that enhances overall efficiency.
  • Special Projects & Miscellaneous Tasks
    • Take ownership of ad hoc projects and miscellaneous tasks, managing shifting
      priorities with ease and demonstrating initiative, thoroughness, and a
      commitment to excellence.
    • Provide additional support to other members of the department as needed,
      contributing to a collaborative and responsive team environment.


QUALIFICATIONS
Knowledge Areas/Experience

Required

  • The ideal candidate will have a minimum of three years supporting C-level or senior
    executives in high-profile organizations, preferably in nonprofit, government, corporate
    environments, or military service
  • Discreet and experienced in handling sensitive information with the utmost
    confidentiality
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity
    with project management tools (e.g., Monday.com)

Education/Certifications

  • Bachelor’s degree in Communications, Public Relations, Nonprofit Management,
    Political Science, or a related field is preferred

SALARY RANGE:

$60-65K

Actual base pay for a successful candidate will be determined based on a variety of job-related factors, including but not limited to: experience/training, market demands, and geographic location.
