Business Operations Manager

The Business Operations Manager will provide executive level administrative and operational support for the office of the CEO. This position will be responsible for all duties related to daily office administration, meetings/events, scheduling and planning, travel coordination, and correspondence. This position will also assist the CEO with key action items and operation directives, as well as provide project management support on various business initiatives.

Essential Duties & Responsibilities:

  • Serve as advisor to CEO to identify organizational strategic priorities, timelines, and manage follow through on execution of related strategic projects

  • Participate in meetings and events with community partners, government agencies, and other external stakeholders and supporters, whether alongside or on behalf of the CEO

  • Serve as information source and partner to CEO and Executive team to ensure they are updated on all important information, projects and developments

  • Provide project management on various business initiatives

  • Manage investor relations and act as a liaison to facilitate working relationships

  • Create weekly dashboards for business financials

  • Prepare and assist CEO with key action items and operation directives

  • Proactively identify ways to improve efficiencies across VSG

  • Represent the CEO in management and operational meetings as needed

  • Provide the VP of New Business Ventures with support as needed

  • Prepare research reports on industry trends and developments

  • Disseminate information and assist with cross-department collaboration

  • Manage timely correspondence and collaborate on tasks with CEO and direct reports

  • Work with key stakeholders to ensure the CEO is prepared and briefed for all events and meetings

  • Handle communications for the CEO where applicable and connect with both internal and external parties with a high level of integrity and tact

  • Manage flow of communication in CEO’s inbox, ensuring that external communications receive a response within 48 business hours and internal communication is prioritized for review and timely resolution

  • Create high quality documents, spreadsheets, and presentations as needed

  • Track, monitor, and prioritize all action items, upcoming deadlines, and phone calls for CEO daily and provide follow up and reminders

  • Responsible for proactively managing, optimizing, and prioritizing the CEO’s calendar, including but not limited to scheduling internal and external meetings, briefing and preparing the CEO prior to meetings, ensuring appropriate room set up, ordering refreshments/lunch, AV needs, etc., coordinating all travel, hotel accommodations, car rental reservations and preparation of agendas and/or itineraries necessary, creating talking points and materials as needed and recommending what is needed for each meeting/event

  • Responsible for the management, organization and maintenance of all confidential department project files including correspondence documents, contracts/agreements, meeting agendas, meeting minutes/summaries and timelines

  • Manage the monthly reconciliation of department expenses; responsible for monitoring and tracking all invoices and statements and properly coding all department expenses

  • Work games and events, as necessary

  • All other duties as assigned

Qualifications:

  • Bachelor’s degree in business, finance, or related field; Master’s degree preferred

  • 3-6 years of professional or collegiate sports/business related experience.

  • Project management experience is required

  • Excellent verbal and written communication skills with an emphasis on business writing skills

  • Exceptional organizational skills, time management skills, and attention to detail

  • Proficient in all Microsoft Office products and other advanced computer skills required

  • Ability to interact professionally and confidentially with all levels of ownership, management and staff

  • Ability to meet tight deadlines and work well under pressure

  • Ability to prioritize and manage multiple tasks/projects

  • Ability to work independently without supervision, be self-directed and demonstrate initiative

  • Ability to handle regular activities without prompting, and advise in advance of issues or delays

  • Strong team synergy skills and ability to work collaboratively with others whom you have no direct authority over

  • Excellent ability to establish rapport with others and ability to build strong interpersonal relationships

  • Exhibit good judgment and decision-making skills

  • Willingness to work a flexible schedule including nights and weekends and be on-call as necessary based on the changing priorities of the department
