ABOUT
This position provides general administrative support to NHL’s Sr. Executive Vice President of Social Impact, Growth Initiatives and Legislative Affairs, including scheduling coordination, report processing, travel arrangements, calendar control and communications support. The Assistant must have the strong ability to multi-task in a fast-paced environment, anticipate needs and workflow, and communicate clearly and responsively with other executives and staff members. He or she must maintain a high level of confidentiality, judgment, and discretion due to operating in matters of sensitivity and significance.

ESSENTIAL DUTIES AND RESPONSIBILITIES
The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with no supervision and handle typical assistant responsibilities along with other projects and duties at the senior staff's discretion/direction.

This person must be exceedingly well organized, adaptable, proactive, and entrepreneurial. The ability to interact with staff (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. They will also coordinate and schedule a high volume of meetings on a regular basis, as well as a high volume of travel.

As this assistant will support the SEVP of Social Impact, Growth Initiatives and Legislative Affairs (SGL), this candidate will support programs and initiatives within areas of youth hockey, community development, public policy, social causes, and other matters relating to fan growth. The SGL business unit exists to drive the long-term economic performance of the League, its Clubs and broader hockey industry through a relentless pursuit of inclusion, access and cultural relevance.

Specific functions include:

  • Perform general office duties, including: answering phones and taking messages, creating purchase orders, paying invoices, scheduling and coordinating meetings, managing (Outlook) calendars, completing and processing expense reports
  • Arrange domestic and international travel (air, ground, hotel, etc.)
  • Prepare and edit outgoing correspondence regarding matters of significance, to include email messages, memos, etc.
  • Support Executive in speechwriting, presentation building, interview/speaking engagement prep, and background research
  • Perform specific functions to support the department’s work product including contract routing, report writing, presentation building, managing tentpole event logistics (i.e. invites and ticketing), merch orders, etc.
  • Handle special requests, including gift purchasing, coordination of tickets to games and events, etc.
  • Organize onsite and offsite programs, events or conferences by arranging for facilities, travel, caterer, issuing information/invitations, coordinating speakers and controlling budget
  • This role requires someone who is dedicated to supporting a mission driven Senior Leader and team whose work needs this person to be committed and understands what is required to execute


QUALIFICATIONS AND EDUCATION

  • Exhibit high energy and willingness to pitch in and help the larger team accomplish goals and work assignments
  • Be a strategic and critical thinker who is forward thinking, detail-oriented, analytical and well-organized
  • Be able to maintain confidentiality and use upmost discretion when privy to sensitive information
  • Demonstrate sound judgement and awareness of interpersonal relationships and consideration of availability on Executive’s schedule
  • Results and bottom-line oriented yet will possess sensitivity towards people and values
  • Possess a strong research background and be an “out-of-the-box-thinker”
  • Self-confident and resilient, with a high-level of enthusiasm
  • Have well-developed interpersonal skills and the ability to relate to a wide variety of audiences, exhibiting strong communication skills
  • Demonstrate excellent time management, including the ability to work independently and prioritize workload appropriately
  • Exhibit solid understanding of social impact work and/or the sports entertainment industry. Deep hockey knowledge is not required.
  • Familiarity with various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects. Prior SAP Concur experience preferred.
  • Bachelors Degree preferred
  • At least 3-5 years of administrative assistant experience is preferred; willingness to learn, adapt and work hard of greatest importance
  • Must have excellent written and verbal communication skills
  • Highly proactive, initiating, and not hesitant to challenge in a constructive way
  • Skilled in relationship building with a sincere tone and a high level of integrity and sense of confidentiality
  • Proven ability to multi-task; must be able to constantly and consistently prioritize workload of senior executives and oneself simultaneously
  • Familiarity working with individuals and organizations representing diverse and underrepresented communities including BIPOC (Black, Indigenous, and People of Color), LGBTQ+, and people with disabilities

SALARY RANGE:

$65K - $80K

Actual base pay for a successful candidate will be determined based on a variety of job-related factors, including but not limited to: experience/training, market demands, and geographic location.
