
Senior Manager, Special Events
Kansas Speedway, which opened in 2001, is located in the heart of the Midwest in Kansas City, Kansas. With easy access to major highways, along with the Hollywood Casino at Kansas Speedway, restaurants, shopping and other entertainment, Kansas Speedway has easily become a destination for fans. The track hosts two NASCAR Cup Series races, the NASCAR Xfinity Series, the NASCAR Gander RV and Outdoors Truck Series and the ARCA Menards Series. In addition to two race weekends, Kansas Speedway hosts over 200 event days each year.
Non-Race Weekend Events
This role is responsible for leading and managing KSC Events Team for all Kansas Speedway Events and assists with the management of events in the Midwest region.
Duties and Responsibilities:
Responsible for the overall management, communication, and production of the KSC Events team and event operations.
Manage all bookings for events and is the liaison with clients to determine event requirements.
Supervise the delegation, coordination, planning, management, and logistics of all aspects of events.
Ensure proper partnerships with vendors and promoters to maintain sufficient staffing levels for events.
Partner with KSC Leadership and Marketing teams to develop, implement, and manage strategic planning as it relates to vendor/client management, budgets, and policy/procedures for event-related functions.
Recruit, hire, train special events staff for seamless client service.
Coordinate and manage event production through NASCAR Midwest Region Facilities and Operations staff, Midwest Region Security personnel, as well as third-party contractors and other entities.
Ensure contractual obligations and company policies/procedures are maintained.
Prepare event budgets and process invoices
Approve event invoices for payment, making sure they are captured in settlement, and approve/submit to the Accounting Department.
Works directly with Legal and Risk teams on all contracts and agreements for Kansas Speedway
Verify that all special event COIs are valid and meet agreement requirements
Direct and lead cultivation of relationships with tenants, clients and promoters through business development.
Vendor contact for all on-site non-racing events at Kansas Speedway
Verify vendor pricing each year
Manage the track calendar
Effectively manage event department, by providing necessary leadership, training, support, and guidance.
Monitor & assess operating expenses.
Other duties as assigned
Race Weekend
This role works closely with the operations, event experience, NASCAR and security team to plan and execute all event logistics.
Duties and Responsibilities:
Manages Command Center
Manages ISS 24/7 and Ready Alert Systems
Coordinates and assists with all pre- and post-race duties
Manages Driver Introductions, Pre-Race Concert, and Pre-Race Driver’s Meeting while working with Event Experience Team on any support needs they may have.
Assist NASCAR and provide staffing for autograph sessions or additional events
Liaison with tent contractor(s) for all race related needs
Other duties as assigned
Qualifications
Bachelor's degree from a four-year college or university and five years of motorsports/sports marketing industry, marketing, project management, public relations/communications experience and/or training; or equivalent combination of education and experience.
Ability to read, write and interpret reports, business correspondence, and procedure manuals.
Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Possess effective decision-making and organizational skills
Efficient experience with a proficiency with Microsoft Suite programs including Excel, Word and PowerPoint. Experience and ability to navigate social media platforms.
Strong understanding of marketing principles
