Office Manager

How would you like to work for the 3-time champion, Miami HEAT! The Miami Heat Administrative Services Department is seeking to hire an Office Manager! The Office Manager is responsible for leading all aspects of the maintenance of office systems and workspaces, ensuring an efficient and productive work environment for all while coordinating the administrative support staff. The Office manager should focus on maintaining a positive work environment to keep the office running efficiently and productively. Essential duties and responsibilities include but are not limited to:

  1. Manage, mentor, counsel, and develop all full-time and part-time administrative services staff, including the Administrative Services Coordinator, Shipping and Receiving Manager, and Event Receptionists.

  2. Ensure event receptionists are scheduled to provide coverage based on business operations hours, basketball operations hours and Kaseya Center Events.

  3. Ensure administrative staff has training, tools and resources to complete their day-to-day activities.

  4. Coordinate the maintenance of office equipment including, but not limited to copiers, faxes, and furniture.

  5. Coordinate all office and workstation moves.

  6. Professionally answer all incoming calls and transfer/route them to the accurate locations within the building.

  7. Build a welcoming environment by greeting and directing guests at Gate 4 and taking messages for employees.

  8. Work with Pritchard Sports to ensure office remains clean.

  9. Develop and maintain relationships with vendors, suppliers, and service providers.

  10. Manage the preparation for new employees providing them with supplies, business cards and workstation.

  11. Crafts, analyzes, and manages the administrative services budget.

  12. Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.

  13. Serve the day-to-day administrative needs of the organization.

  14. Writing reports and delivering presentations about office efficiency to senior management.

  15. Ensure entire department is crossed trained and has a working knowledge of all areas within the Administrative Services Department.

  16. Implement special HEAT group related projects as needed.

Bachelor's degree (B. A.) from four-year college or university; eight to ten years of proven experience as an office manager. Proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook. Hands on experience with office machines. Familiarity with Scheduling tools. Strong organizational and planning skills. Must have the ability to read, analyze and solve practical problems. Must have excellent written and verbal communication demonstrating tact and diplomacy. Must have exceptional interpersonal communication skills and phone etiquette. Must be well organized and detail oriented with the ability to prioritize tasks and to multi-task. Must possess sound judgment and problem-solving skills. Must possess a professional appearance and demeanor.
