Main goal:

The Chief of Event Operations at UEFA Events SA is looking for a dynamic, experienced, focused, motivated and professional Management Assistant/ Unit Coordinator to provide expert administrative, organisational and logistical support to the Event Operations Unit and to coordinate or lead specific projects when requested.

Key responsibilities:

Unit coordination:

  • Providing top-level, multilingual support (in English, French and German) to a unit of around 50 staff;

  • Monitoring company reporting procedures and deadlines on behalf of the unit;

  • Reporting on unit procurement activities and use and development of specific IT tools;

  • Coordinating unit staff on-boarding, absence requests, equipment needs, etc.;

  • Organising workshops, team-building outings and newcomer training schemes;

Budget coordination:

  • Coordinating quarterly budget forecasts, with detailed budget planning, tracking and reporting;

  • Leading the maintenance and development of complex, detailed Excel/Tableau budget files;

  • Inputting budget details into the financial reporting system and cross-referencing with SAP.

Administrative support to chief and heads of department

  • Managing the diary and travel of the Chief of Event Operations and two heads of department;

  • Creating engaging, striking and innovative PowerPoint presentations;

  • Coordinating meetings and taking, editing and distributing meeting minutes when necessary.

Visual, design, event roles

  • Assisting across the unit with roles on project or event planning as required;

  • Providing on-site support to the Event Ops teams at selected events (once or twice a year).

Profile:

Experience required:

  • from 4 to 6 years / As an executive or personal assistant

  • from 1 to 3 years / Managing key internal and external client relationships at senior level

  • from 1 to 3 years / Experience of working on international sports events would be an advantage

Languages:

  • English / Advanced

  • French / Advanced

  • German / Advanced

Additional requirements:

  • Budget Management / Advanced

  • Adobe Creative Suite / Intermediate

  • MS Excel / Advanced

  • MS Outlook / Intermediate

  • MS PowerPoint / Advanced

  • MS Project / Intermediate

  • MS Word / Advanced

  • Project Management / Advanced

  • Fully fluent business English, French and German (spoken and written)

  • One or two other European languages would be an asset

  • Travel or event management database experience would be an advantage

  • Excellent interpersonal skills; reliable, discreet

  • Diplomatic team worker, culturally sensitive, good communicator

  • Able to work independently and innovatively

  • Strategic thinker, good judgement, attention to detail, quick understanding

  • Able to provide outstanding results under pressure

  • Attentive to detail but able to see the big picture

  • Keen, proven eye for design: visually aware regarding design, brands, brand application

  • Motivation for this particular job, not just an entry point to other jobs at UEFA

  • Happy with a limited amount of business travel each year

  • Possibility to apply to work at 80% or more

  • Shortlisted candidates' language, brand awareness, Excel and PowerPoint skills will all be tested before any face-to-face interview
