NASCAR seeks a talented professional to join in the position of Coordinator, Corporate Events & Hospitality based in Charlotte, NC.

The Coordinator, Corporate Events & Hospitality is responsible for the coordination and execution of various internal and industry stakeholder related events and initiatives. The role has a heavy focus on guest management, registration and platform builds and reporting, venue / hotel sourcing, room block management, food & beverage and event logistics, on-site execution, and other related functions.

Duties include but are not limited to:

  • Manage and execute various internal and industry stakeholder related events

  • Develop and execution of event strategy with project teams for specific internal and industry related tentpole events

  • Effectively and expertly utilize event platform software; including creating events, invite and RSVP reporting, database management, guest lists, basic diagrams and virtual event integration, post-event analytics, etc.

  • Lead venue and hotel sourcing, request for proposals, contract negotiations and execution

  • Develop and manage guest hotel room blocks, communication processes and final billing (i.e. race weekends, tentpole events, etc.)

  • Support in-suite and hospitality management; including event communication, guest list management, pass distribution, catering, rentals, and on-site hosting

  • Manage food & beverage planning including developing an understanding of requirements for various event types

  • Develop event communication, presentations, schedules, and itineraries for essential groups related to the project

  • Manage ad-hoc projects as assigned

  • Travel required: 30-35%; including weekend travel, short notice travel and periodic heavy and/or multi-day travel

Required skills / experience:

  • Bachelor’s degree (B.A.) from four-year college or university and a minimum of three (3) years related experience in the sports and/or corporate event industry, or equivalent combination of education and experience.

  • Proficient on Company-provided hardware and software, including advanced Excel and PowerPoint skills. Experience in various guest management applications a plus.

  • Creative and forward thinker

  • High level of attention to detail

  • Professional interaction with internal and external executives and guests

  • Capabilities to perform and retain composure under high pressure situations

  • Ability to manage multiple projects, set priorities, meet deadlines and to work independently

  • Genuine passion of events

  • Certified Meeting Professional (CMP) certification or interest in pursuing the CMP certification a plus

  • Exposure and understanding of the sports and/or NASCAR industry is a plus but not required
