Reporting to the Senior Director – Merchandise and Retail Operations, the primary focus of this position is to provide support with merchandise services. The main responsibilities will be to assist the retail department with vendor invoicing, purchase order creation, POS management, and inventory tracking.

Maintain electronic filing system for invoices and purchase orders that are sent to retail vendors
Populate retail merchandise invoices into Teamwork
Submit internal department invoices into Workday
Assist Director-Merchandise in creating Purchase Orders to be sent to vendors
Match the invoice to what was received in point-of-sale
Submit and record credit memos to accounts payable
Ensure all orders are accurate and documented correctly with pricing and order specifications
Communicate issues and answer questions that arise from vendors regarding bills
Identify and rectify vendor billing errors, communicate errors to Senior Director
Meet weekly with Senior Director for status updates on all open billing issues
Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Previous billing experience preferred
Proficient in Microsoft Excel and other Microsoft Office applications
Strong organizational, time management and attention to detail skills required
Ability to problem solve
Excellent written and verbal communication skills
Ability to multitask and work independently in a fast-paced environment
Prior knowledge with Workday and/or point-of-sale applications a plus
Education and/or Experience
Bachelor’s degree from a four-year college or university preferred. One-year experience as an administrative or executive assistant preferred.
To perform the job successfully, an individual should have knowledge of Microsoft office software including Word, Excel, PowerPoint, Access, Outlook, and Internet Explorer.
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
