POSITION OVERVIEW:

The Supervisor, Office Operations and Administration is responsible for assisting in the day-to-day operations of MLB’s headquarters office in Midtown Manhattan and satellite offices, with the overall goal of ensuring that office events and jewel events are executed professionally and efficiently and that the office is a hospitable environment where people want to work. The position will report to the Vice President, Office Operations & Administration.

ESSENTIAL FUNCTIONS:

  • Coordinate logistics for office vendors – deliveries, set up, break down, COIs, building work orders as they relate to office operations

  • Attend offsite jewel events to provide onsite support

  • Work closely with building management and facilities on vendor COIs and work order requests

  • Act as company liaison to outside vendors in the area of office operations (shipping and logistics, office cleaning, supply ordering, etc.)

  • Oversee cleaning staff and monitor services, coverage and additional work orders

  • Collaborate with the mailroom team and assist with coverage as needed

  • Ensure that office operations are conducted in a manner that promotes safety and complies with all federal, state, and local laws, regulations, and codes

  • Work closely with MLB’s satellite offices to provide operations support and uniformity

  • Manage MLB Intranet site (Inside MLB) and work with departments across the organization to keep information updated and relevant

  • Monitor and track specific office project budgets

  • Participate in ad-hoc projects as needed

QUALIFICATIONS AND SKILLS

  • At least five (5) years of experience in operations or facilities, and knowledge of hospitality and events management

  • A Bachelor’s Degree is preferred

  • Management or supervisory experience

  • Familiarity with general building standards and safety and emergency codes and protocols

  • Ability to be in the office Monday through Friday; nights, weekends, and holiday coverage may be required on occasion

  • Available and “on call” to address operations issues during non-work hours

  • Excellent verbal and written communication skills

  • Detailed-oriented, with strong project planning and time management skills

  • Ability to work within a budget

  • Flexible team player, with a track record of reliability and strong interpersonal skills

  • Able to exercise discretion with highly confidential information

  • Ability to lift approximately 15 – 20 pounds

  • Computer literate, and familiar with all Microsoft Office products
