The Administrative Assistant, Office Operations and Administration provides administrative and operational support in the day-to-day operations of Major League Baseball’s office in Midtown Manhattan, satellite offices, offsite events and onsite catering and hospitality. The position will report to the Vice President, Office Operations & Administration.
Support offsite and onsite events and meetings
Work closely with reception team and assist with coverage as needed
Collaborate with the mailroom team and assist with coverage as needed
Track and monitor metrics as they relate to Office Operations (catering and beverage requests, conference room requests, supply ordering)
Manage Office Ops document drives (including photo gallery for events)
Process invoices, track budgets, reconcile monthly bills and expenses.
Assist with MLB intranet site content
Create purchase orders for events swag
Manage department calendar
Assist with coordinating logistics for office vendors – COIs, expiration dates, work orders
Participate in ad-hoc projects as needed
QUALIFICATIONS AND SKILLS:
At least two (2) years of experience in reception and/or administrative services
Bachelor’s Degree preferred
Ability to be in the office Monday through Friday. Nights, weekends, and holiday coverage may be required on occasion
Available and “on call” to address operations issues during non-work hours
Excellent verbal and written communication skills
Detailed-oriented, with strong project planning and time management skills
Ability to work within a budget
Flexible team player, with a track record of reliability and strong interpersonal skills
Able to exercise discretion with highly confidential information
Ability to lift approximately 15 – 20 pounds
Computer literate, and familiar with all Microsoft Office products
