We are now looking for a VIP Travel Coordinator that is part of FIFA and supports us on our mission.

These are your key tasks:

  • Coordinating and monitoring all travel arrangements related to the FIFA President's, the FIFA Secretary General's and the FIFA Deputy Secretary General's Office as well as their travel companions and guests
  • Guaranteeing the success of all operations in the areas of travel, accommodation and transportation to meet the highest quality standards
  • Offering a high-quality service in accordance with FIFA's service standards (commercial, charter and private jet flights, premium accommodation, VIP services, transportation, etc.)
  • Extensive pre-trip researches of all relevant aspects including risk analysis
  • Contract negotiations with service providers, following FIFA's procurement processes in place
  • 24/7 reachability during afterhours and weekends for the FIFA President's Office, the FIFA Secretary General's Office, the FIFA Deputy Secretary General's Office whilst on duty
  • First class service in relation to private jet bookings and operations, incl. aircraft research, bookings, revision of civil aviation authorities' permits and operators' call signs and crew minimum rest times
  • Organisation of worldwide event and business travel incl. flight allotments, group reservations, charter flights, private jet flights, accommodation, trains, rental cars, ground transportation, VIP services etc., for FIFA employees and other FIFA stakeholder groups
  • Participation in tournaments and events in Switzerland and abroad, delivering on-site support for FIFA employees, participating teams, guests and all other FIFA stakeholders in regards to their travel arrangements for FIFA tournaments and events
  • Monthly accounting: BSP reconciliation, credit card statements, ADM/ACM handling, open tickets, other service invoices, end of year accruals, etc.
  • Providing information related to visa and entry regulations and health information worldwide; preparing and obtaining all needed visa documents for employees and/or travellers leaving Switzerland
  • Knowledge transfer (systems, industry-specific)
  • Assisting and providing training to new employees
  • Contribution to the improvement of systems and internal processes (Amadeus, Agent Online, E-Travel, IFES, etc.)
  • Precise recording of the work volume per travel order by means of appropriate tools

The specific competencies we require for this position are:

  • Completed (business) travel agency education or business education with training in the travel industry
  • At least 4 years of experience in the business travel industry
  • Experience with VVIP clients and an extensive knowledge in private jet operations
  • Excellent skills in GDS (reservations, ticketing, fare rules, rebooking, etc.), ideally Amadeus
  • Business fluency in at least two FIFA languages, namely English and French and/or Spanish, other languages are a plus
  • Very strong customer service skills and a passion for high-end customer service
  • Strong identification with FIFA's ideals and philosophy
  • Excellent time management skills with the ability to multi-task even when under big pressure
  • Flexible approach to working hours and ability to embrace a complex, busy and very dynamic work environment
  • Vision to predict possible problematical scenarios and capability to solve unforeseen issues
