The Front Desk Receptionist serves as the initial on-premises point of contact, greeting and providing routine information and directions to visitors in our Chicago-based front office’s main lobby. The Front Desk Receptionist will provide organizational and administrative support for the Cubs organization and model consistent professionalism and flawless service delivery.

RESPONSIBILITIES

  • Provide top-level organizational and administrative support to the organization’s front office associates, visitors, and clients by modeling a welcoming and friendly demeanor

  • Address all visitors’ questions attentively, professionally and courteously

  • Facilitate appointment check-in, building navigation and general assistance to internal and external customers

  • Liaise with associates at all levels of the organization to ensure best-in-class service delivery to all internal and external customers

  • Routinely communicate with the organization’s executive assistants regarding appointments, meetings and events for executives and functional leaders

  • Coordinate day-of logistics for internal and external meetings and events that originate from the main lobby of the Cubs’ front office

  • Assist with email and other correspondence as requested

  • Active participant in the recruiting, orientation, and training process of Cubs’ seasonal associates

  • Order operational and office supplies as needed and as requested

  • Support the Cubs’ operations team with annual design, editing and updating of operations documents, as well as reporting, data entry and other documentation, as requested

  • Support the implementation of the Chicago Cubs vendor management program

  • Maintain a clean and organized work area

  • Perform related duties as assigned

REQUIRED QUALIFICATIONS

  • Ability to work non-standard hours, including nights, weekends, game days or other event dates

  • Requires a 40-hour work week and willingness to work overtime

  • High school degree or equivalent

  • Excellent interpersonal skills and ability to build relationships among all organizational levels

  • Demonstrated proficiency with Microsoft Word, Outlook, Excel, and Power Point

  • Proven interest in learning new software and technology and utilizing on the job

  • Demonstrated excellent communication and writing skills

  • Demonstrated ability to work in an organized manner and manage time efficiently and effectively

  • Ability to maintain confidentiality

  • Demonstrated common sense, good judgment, and the ability to think and act quickly

  • Proven ability to think independently and act quickly to deliver exceptional guest service

  • Ability to work without constant direct supervision and remain at the front desk for extended periods of time

PREFERRED QUALIFICATIONS

  • Associates degree from an accredited university or college

  • Experience using company-wide visitor management systems

  • 3+ years’ experience as a Front Desk Receptionist or similar organizational or administrative role

  • Problem solving and on-the-spot troubleshooting expertise
