Job Responsibilities:

  • Manages all bookings and confirmations regarding reservations for the Arena Club Restaurant through telephone and email follow-up with restaurant dining patrons and STMs.

  • Generates and posts content to reflect upcoming Arena Club and Catering menus and event information on PNC Arena external website such as updates, offerings, and pricing.

  • Collaborates with Manager regarding all restaurant, private, and special event space and demonstrates planning, coordinating, and publishing room setups, diagrams, and layouts.

  • Coordinates with Manager on both internal and external events and communicates with various departments, staff, upper management, and culinary regarding catered events detail.

  • Develops and communicates accurate event diagrams based on Catering BEO’s and works diligently to help simulate a plan with Manager and disseminate the information to the proper departments.

  • Produces and communicates accurate weekly Operations Setup Notes for catered events on PNC Arena intranet while anticipating upcoming future events and helping forecast certain event needs and setups.

  • Maintains current and accurate customer files and executes with data input: Excel, Word, PowerPoint, Publisher and Caterease while assisting with daily part-time staff payroll and time processing.

  • Executes daytime events and embraces the ability to coordinate and lead part-time, temporary, and volunteer staff with tasks, setup, breakdown, and constant check-in and follow-up.

  • Provides overall administrative support for the Catering and Restaurant Department while demonstrating a professional demeanor and helping execute any other duties as assigned by the Manager.

  • Researches concerts, special events, and conventions as designated by upper management and VP to include sales forecasting, attendance, popularity of event, VIP information, and other venues best practices.

Experience:

  • 1-3 years supervisory experience in Restaurant, Bar, Country Club, Private Event, Convention Center, or Banquet setting preferred.

  • Must demonstrate technical proficiency in Microsoft PowerPoint, Excel, Publisher, and Word. Previous administrative experience, Caterease Software, and Bypass POS or similar POS system knowledge strongly preferred.

  • Possess strong written and oral communication skills.

  • Must be organized, detailed and able to work quickly in stressful situations.

  • Candidate must convey a professional demeanor to guests and employees.

  • Must be able to work a flexible schedule to include Monday through Friday and events that occur during daytime, evenings, weekends, and holidays as necessary.

  • Must pass criminal background check.
