Job responsibilities

The VIP Hotel Transport Coordinator role is a key position of the Transportation functional area in the FIFA Local Subsidiary (LFS). They have the responsibility, under the guidance of the VIP Hotel Transport Manager, for the successful planning and delivery of Event Transport in assigned Host City for the FIFA Women's World Cup 2023™. The VIP Hotel Transport Coordinator is responsible for the working with the VIP Hotel Transport Manager develop the Operational plan for the Transport operations in FIFA VIP Hotel. The candidate is responsible for the development, management, and delivery of all Hotel based transport operations: the arrival and departure of the FIFA VIP's, transport desk operations, briefing and managing the volunteers at the Hotel, and managing the internal and external parking designated for clients. The successful candidate is expected to be a self-starter and multi-tasker who works well under pressure and follows through on tasks.

Job Duties

  • Assist in the implementation of the transportation requirements for FIFA VIP's.

  • Creates staff training materials for all TPT Staff in the FIFA Hotel.

  • Oversee the management of the Transportation Information desk and supervise all volunteers assigned to this position.

  • Liaising with the Fleet team to provide any transportation-related information needed to ensure that VIPs are appropriately informed about transportation services.

  • Assists in the distribution and exchange of all client-related information along with LFS Guest Operations.

  • Communicates with FWWC 2023 Fleet & Bus Teams relating to vehicle and driver requirements.

  • Responsible for effective and efficient Venue transport operations in terms of parking, load zones, and staging areas.

  • Monitoring and checking all FIFA ground transport requests and planned services in Transportation Management Module (TMM).

  • Ensure contract staff has Traffic Equipment and properly stores when not in use (barriers, cones, warning tape, vests & wands, etc.).

  • Ensuring that the Wayfinding & Signage, pertaining to localised area and functions, has been implemented (directional & access).

  • Management training and briefing of any Transport Staff & Volunteers.

  • Ensure that the vehicles and drivers have been briefed and are ready to go well ahead of the Clients' departure. As well as a daily briefing with the drivers to ensure they understand daily movements and timings required.

  • Work closely with Accommodation, Security & Venue Team to ensure transport plans are coordinated with the security provisions.

  • Reports to VIP Transport Manager and escalates immediately all major incidents and issues.

  • Any other duties may be required.

  • Education – Bachelor's Degree or a combination of education and experience relating to the position.

  • Minimum of two (2) years Transport work experience: ideally within the football, sport, event industry or two (2) years of experience in Client Services or Transport, or two (2) years equivalent position.

  • Able to effectively present information and respond to questions from support staff, managers, and clients.

  • Ideally venue, sites, and facilities operation experience within at least one mega project event, ideally more than one world-class sports event (e.g., FIFA World Cup and/or Olympic Games, Regional Football Tournaments, etc.).

  • Basic knowledge of transit operations involved in moving VIPs by vehicles, including city layout.

  • Intermediate knowledge of administration and management principles.

  • Ability to prioritize customer's needs, authority requirements, and FIFA/FWWC 2023 regulations.

  • Must be organized and detail oriented.

  • Advanced communication skills.

  • Ability to work both independently and in a team.
