Job Summary: The Assistant to the Chief Operating Officer provides administrative and personal support to the COO. Primary responsibilities include managing COO’s calendar and schedule, screening mail, email, and calls from both external and internal sources. The fundamental reason this position exists is to provide highly skilled support for the COO of Arizona Cardinals. A proactive problem solver, possessing a strong work ethic and an ability to work long hours as needed, including irregular schedules, occasional weekends, early mornings, and/or late nights. A good attitude and a commitment to teamwork is a must, attention to detail is imperative. Confidentiality is required.

Primary Job Duties:

  • Professionally represent the COO by welcoming visitors, reviewing correspondence, arranging offsite meetings, answering questions and meeting requests directed to the COO.
  • Coordinate and participate in COO meetings upon request and assist in taking notes and facilitate follow up and action items post meeting.
  • Performs a wide variety of complex and confidential secretarial tasks for the COO.
  • Schedules and coordinates appointment calendar.
  • Electronically allocates expenses for self and COO.
  • Research, resolve and correspond with fans and other leadership inquiries or requests.
  • Arranges corporate travel by developing itineraries and agendas, booking transportation, arranging lodging and other accommodations.
  • Complete special projects as assigned by COO. May include creative problem solving, progress oversight, working with multiple departments and research.

Qualifications/Requirements:

  • Education: Three years of experience as an executive assistant to C-suite leadership, including a bachelor’s degree in business administration or a related field.
  • Experience: Other combinations of experience and education that meet the minimum requirements may be substituted.
  • Must be able to handle extremely high stress situations and timelines that sometimes require rigorous work schedules.
  • A strong understanding of various office automation programs.
  • High proficiency with PC operating systems and Microsoft Office Software
  • Ability to multi-task and troubleshoot in a high stress, fast-paced, work environment.
  • Excellent communication, organizational skills and attention to detail.
  • Must be detail-oriented and highly self-motivated with a shared commitment to excellence.
